How to use Kryon.
All of it fits on this page.

There's no app to install and no dashboard to learn. Kryon works through the messages you already send — so this whole manual is really just "here's what to text, and when."

We do the setup with you. Once.

Onboarding is a single conversation — after that, Kryon runs in the background. Here's what gets set up.

Your Kryon address

You get a dedicated email alias like johnsplumbing@kryon.au. Set your business inbox to forward to it, and every job request that lands in your email automatically lands in Kryon too. Nothing changes for your customers.

Your rates & markup

Your hourly rate, call-out fee, travel rate, parts markup and preferred supplier. Every quote Kryon drafts is priced with your numbers — including GST — not generic estimates.

We link your mobile number so Kryon knows it's you. WhatsApp is where quotes and invoices come to you for approval — it's the only "interface" you'll ever touch.

Your existing software

Already run Tradify, ServiceM8 or Xero? Tell us during onboarding and Kryon pushes finished jobs and invoices straight into it. If you run nothing — that's fine too.

Every one of these feeds the same pipeline — captured, understood and quoted the same way.

Email — forwarded automatically
A customer emails your business inbox as normal. The forward you set up during onboarding mirrors it to your Kryon alias, and Kryon pulls out the contact, job, address and urgency. You don't touch anything.

Your job request form
You get a link to a simple job request form — put it on your website, Facebook page, or text it to customers. Submissions flow into the same pipeline as email.

Missed calls — texted back for you
On the tools and can't pick up? Kryon automatically texts the caller back within moments, apologises for the missed call, and gives them your form or email so their details are captured before they ring the next tradie.

Jobs you take on the phone — just text them in
Took a job over the phone or in person? Send Kryon a WhatsApp message with what you know — "Reno job at 14 Gum St, swap 8 downlights, owner is Sarah 0412 345 678" — and it runs the full pipeline and comes back with a draft quote.

( 03 ) Approving quotes

You're the boss. Kryon just does the typing.

Nothing ever goes to a customer without your say-so. Every quote comes to you on WhatsApp first.

The draft arrives
Labour, parts, travel and GST — fully itemised, priced at your rates. It shows up as a WhatsApp message with two buttons: Approve and Request changes.

Happy? Tap Approve
That's it. The quote goes straight to the customer by email (or SMS if that's all we have for them), and you get on with your day.

Not happy? Just say what to change
Type it like you'd tell an apprentice: "make it 4 hours not 3", "add a call-out fee", "use the Clipsal gear instead". Kryon redrafts the quote and sends it back. Repeat until it's right — only then does it go out.

Customer says yes → it's booked
When the customer accepts, Kryon checks your calendar and their timing, locks in a slot, and confirms it with both of you. No scheduling ping-pong.
( 04 ) Finishing & getting paid

Finish the job, send a voice note. Done.

The invoice, the follow-ups, and your software — all handled from one voice note in the ute.

Talk it in
When you wrap up, send Kryon a voice note on WhatsApp: "Done at Marlin Street — took the four hours, also replaced two valves, chuck on forty bucks for those." Kryon transcribes it and picks out the extras.

Check the draft invoice
Kryon builds the invoice from the accepted quote plus your extras — priced with your markup, GST done — and sends it to you first. Confirm it the same way you approve a quote.

It goes out — and follows up
The invoice goes to the customer by email or SMS. A few days later Kryon checks in with them, and about a week after that it asks for a Google review — without you remembering to.

Your books stay right
The finished job and invoice sync into Tradify, ServiceM8 or Xero automatically. Your accountant will never know a robot did it.

Things you can text Kryon.

Plain English works. No commands, no menus — just say it.

Log a job

"New job — blocked drain at 3/45 Beach Rd, Karen 0400 111 222, wants it done this week"

Kryon creates the lead, drafts the quote, and sends it to you for approval.

Change a quote

"Bump labour to 5 hours" · "Take off the travel charge" · "Add a $90 call-out fee"

Reply to any quote with the change. It redrafts and asks again.

Approve anything

Tap the Approve button — or just reply "yep", "send it", "👍". Kryon understands how tradies actually text.

Finish a job

Send a voice note with what happened and any extras. "All done, add $60 for the extra valve" works as text too.

( 06 ) Common questions

Quick answers.

Do my customers need to download anything?
No. Your customers just email, call or text like they always have. Quotes and invoices reach them as a normal email or SMS they can reply to. They'll never know Kryon exists unless you tell them.
Can a quote go out without me seeing it?
Never. Every quote and every invoice comes to you on WhatsApp first, and nothing is sent to a customer until you approve it. You're the sign-off on every dollar.
What if Kryon gets the quote wrong?
Reply with the correction in plain English — "that's a 6 hour job minimum" — and it redrafts on the spot. It quotes from the rates, markup and supplier you set at onboarding, and it gets sharper about your jobs the more you correct it.
What happens when I miss a call?
Kryon texts the caller back automatically and gives them a way to leave the job details — so the lead is captured even while you're elbow-deep in a ceiling cavity. When they respond, it flows into the normal pipeline and a draft quote heads your way.
Does it work with my existing software?
Yes — finished jobs and invoices sync into Tradify, ServiceM8 and Xero. Kryon fits around your stack rather than replacing it. If you don't run any software, Kryon simply keeps everything itself.
How do I change my rates, markup or availability?
Message us — same channel as everything else. Tell Kryon "put my hourly rate up to $120" or email simon@kryon.au and it's updated same day. No settings screen to dig through.
Something's not working — who do I talk to?
A human, straight away: simon@kryon.au. While we're onboarding our first group of trades, support comes directly from the founder.
